Telecoms Billing Queries

Telecoms Billing Queries in SAFE CRM

Follow the customer’s question from the invoice to the evidence and the agreed financial outcome.

Investigate the charge in its account context

A query about a telecoms invoice can concern a service period, a tariff change or one call outside an expected allowance. SAFE CRM connects the customer’s invoice with the available charge detail, so authorised staff can establish what happened before proposing a correction.

The invoice view provides headline amounts, charge-source breakdowns and billed calls. Staff can move into the individual call evidence where it is available, retaining the link with the original question.

Review tariff and allowance evidence

Call-rating evidence can identify the tariff and revision, a matching rate row where captured, the route used to select the tariff and the relevant price date. The discount log records candidate allowances and their application or rejection reasons.

The source matters. Evidence captured during rating records the decision at that time; backfilled evidence is inferred against later configuration. Some historical calls have incomplete evidence. An inferred explanation should not be presented as a contemporaneous record.

Use invoice and payment actions with the right access

Available actions include viewing or sending the invoice and call records, generating customer links and recording payments. Supported collection actions can use configured stored cards or Direct Debit, with the appropriate permissions and provider setup.

Failed collections need their outcome reviewed before a retry. Worklists for missing automatic payment arrangements and expiring cards help identify preventative work. These are specific collection issues, not evidence that every affected customer is unable or unwilling to pay.

Record the scope of a dispute

Identify the affected invoice, transactions or calls and the amount being disputed. The dispute workflow can protect the relevant chase item or amount while the investigation continues, subject to the account’s wider holds and policy.

An upheld or credited outcome records the decision. A credited outcome can lead to a prefilled request, but it does not by itself prove that an adjustment has posted or that the customer has received a cash refund.

Approve credits and retain the commercial reason

Customer-service users can raise requests without being able to post transactions. Approval requires the relevant billing permission and an amount within the approver’s credit-value limit.

Request categories distinguish corrections and goodwill from other transaction-related requests. Those reasons support reporting, but do not replace accounting or VAT treatment. A goodwill adjustment can still require a credit note, and an account credit can require a separate refund action.

Complete the explanation and the correction

Once the financial action is complete, check the resulting balance and communicate the outcome to the customer. If the cause lies in the recurring service or tariff setup, review that as well so the next invoice follows the corrected arrangement.

The call-charge investigation article follows the evidence in more detail. The credit-note guide explains the accounting distinctions.

Questions about telecoms billing queries in SAFE CRM

Can every historical call be explained exactly?
No. Recorded evidence, inferred backfills and missing evidence are different cases. Check the source shown before describing it as proof of the original calculation.
Can every agent see supplier costs?
No. Buy-price visibility has its own permissions. Access to a retail billing query does not automatically grant access to margin information.
Does resolving a dispute post a credit?
A credited outcome can create a prefilled request. Authorised approval and successful posting are still required.
Is a credit the same as a cash refund?
No. An account credit adjusts the balance. Returning money requires the appropriate refund action and reconciliation.
Does a dispute stop all collection on the customer?
Review the scope of the dispute and any wider holds. The affected item or amount can be protected while other eligible debt remains subject to policy.
